Finlandia Village is a well-established retirement community in Sudbury, ON, providing independent living and long-term nursing care since 1985. For decades, it relied on Microsoft Dynamics GP to manage its financial operations across two distinct legal entities. Each one notably had unique funding, reporting, and compliance requirements.

As regulatory demands increased and manual processes became more time-consuming, Finlandia recognized the need to modernize its software. Their objective was not to only replace GP, but to move to a future-ready ERP platform. One that could support complex trust accounting, payroll-heavy operations, government reporting, and resident billing – all without sacrificing accuracy or control.

The Challenge

Unifying two separate entities with one streamlined solution

Finlandia’s environment was inherently complex - mainly because it operates two separate entities: a nursing home and housing. Each with different revenue streams, funding models, and reporting obligations.

One key difference is that the nursing home is primarily funded by the Ministry of Long-Term Care. The housing entity, on the other hand, manages rental revenue, wellness plans, maintenance, and charitable activities.

The organization used Dynamics GP to keep track of all the different functions. And while reliable, the solution was no longer suited to Finlandia’s evolving needs. Reporting was highly manual, often requiring data to be extracted into Excel to meet quarterly and annual ministry requirements. Plus, trust accounting for over 110 residents was managed through general ledger workarounds and spreadsheets. This increased the risk of errors and consumed valuable staff time.

On top of this, day-to-day processes; including rent increases, recurring rent rolls, EFT processing, T4As, and trust and client statements, required multiple manual steps, often involving six or more clicks per transaction.

The result was an administrative burden that slowed productivity and made it difficult for the finance team to focus on higher-value work.

The Solution

A modern ERP designed for regulatory and operational complexity

360 Visibility implemented Microsoft Dynamics 365 Business Central as a modern, cloud-based ERP. It’s perfectly designed to support Finlandia’s operational and regulatory complexity.

The solution was carefully structured to handle multiple legal entities and funds. This allowed for clear separation of reporting while maintaining a unified financial system.

Business Central was configured to streamline rent roll management, allowing recurring billing, easier rent adjustments, and cleaner customer statements that could be emailed directly to residents. Trust accounting processes were also redesigned to support quarterly reporting of deposits and withdrawals. This eliminated the reliance on spreadsheets and reduced manual reconciliation.

Business Central provided Finlandia with timely financial data for monthly internal use, quarterly ministry submissions, and annual compliance. With data centralized and automated, the finance team gained confidence, accuracy, and time back in their day-to-day operations.
